Creating Users in GearLocker

Objective

This Article outlines the steps to create new users within the GearLocker system for organizations, schools, or teams.

Key Steps

  • Log in to GearLocker at the high school level (or appropriate level).
  • Locate the menu bar at the top of the dashboard.
  • Click on the 'Users' tab to view current users.

  • Find the plus sign (+) in the top right corner of the Users tab.
  • Hover over the plus sign to see the text 'Invite Users'.
  • Click on the plus sign to initiate the user invitation process.

  • Fill in the required fields:
    • Email: Enter the user's email (e.g., testuser@GearLocker.com).
    • First Name: Enter the user's first name (e.g., Test).
    • Last Name: Enter the user's last name (e.g., User).

  • Select the appropriate role for the user from the dropdown menu:
    • Admin: Full permissions (add teams, archive teams, etc.).
    • Manager: Limited permissions.
    • Member: Basic permissions.
    • IT Manager: Specific permissions.
  • Click 'Create' after selecting the role.

5. Copy Invitation Link 1:44

  • After creating the user, an invitation link will be generated.
  • Copy this invitation link to send to the new user.

  • Instruct the new user to open the invitation link.
  • They will see a screen confirming their invitation to the organization.
  • Click 'Continue' to create their login.

  • Advise the user to log in using their school account (Google or Microsoft) for convenience.
  • If they prefer, they can create a login using just their email.

  • The user will receive instructions to create a password (must include an uppercase letter).
  • Once completed, they will be welcomed and can view the organization.

9. Adding Users to Specific Teams 3:08

  • To add a user to a specific team (e.g., football team):
    • Click on the 'Users' tab within the team.
    • Repeat the steps from 2 to 8 to invite a new user.

Cautionary Notes

  • Ensure that the correct role is assigned to each user to avoid permission issues.
  • Double-check the email address entered to prevent sending invitations to the wrong person.

Tips for Efficiency

  • Use the single sign-on feature for easier login management.
  • Keep a list of user roles and permissions handy to streamline the role assignment process.
