Roster Management: Manually adding Students/Personnel

Objective

This article outlines the steps to manually add a student or athlete to a team's roster using the GearLocker system.

How to Manually Add Students to a Roster in GearLocker


1. Open the add personnel menu 0:00

  • Start from your team roster screen.
  • Click the plus (+) icon.
  • Select Add Personnel to begin adding a student manually.

2. Enter student details and save 0:18

  • Type in the student’s information.
  • Optionally add a photo.
  • Add parent contacts if needed.
  • Save the student to add them directly to your roster.

3. Use checkout if your school roster is shared at the high school level 0:32

  • If your program uses GearLocker across the whole high school, students may already exist at the school level.
  • Instead of creating them again, start a checkout.
  • Begin typing the student’s name and select them from the available high school-level students.

4. Confirm students appear on your team roster after checkout 1:08

  • Once checkout is completed, the student will automatically populate on your football roster.
  • You do not need to add them separately after checkout.
  • This is the fastest way to associate existing students with your team.

5. View rosters by team level 1:17

  • Click the roster card to view students checked out to that team.
  • You can switch back to the main football level to see all sub-rosters together.

    • Varsity
    • JV
    • 9th Grade

6. Review all personnel on the football card 1:35

  • The football personnel card shows all students associated with the program.
  • Click the card to see the full list of students.
  • This helps you quickly confirm who is on each roster and at the overall football level.
