Linking QR Codes During Check-out (Desktop)
Objective
This article explains how to link QR codes to gear items while completing a student checkout. Following these steps ensures each item is properly associated with its QR code for future check-ins and future seasons.
Key Steps
1. Start the student checkout process 0:09
- Select Start Checkout.
- Search for and select the student’s name.
- Confirm you are in the correct checkout record before adding items.
2. Confirm items have been pre-labeled with QR codes 0:16

Verify that gear items have already been labeled with QR codes before checkout begins.
Examples include:
- Heat press labels on clothing items
- Stickers on helmets and similar equipment
- As long as QR codes have been applied to items linking at check-out is quick and seamless
3. Add gear items to the checkout cart 0:28

Load the student’s items into the checkout cart.
Example items may include:
- Helmet
- Shoulder pads
- Jersey
- Review the cart to identify which items already have QR codes and which do not.
4. Identify items that still need QR code linking 0:48
- Items with an existing QR code will display that code in the item row.
- Items without a linked QR code will show a QR code button.
- Use this visual cue to determine which items require linking before checkout is completed.
5. Link the QR code to the item 0:55
- Click the QR code button for the item that needs to be linked.
- Hold the physical item up to the camera when prompted.
- When the Link QR Code message appears, select Link QR Code.
- The system will automatically connect that QR code to the selected item.
6. The QR code remains linked for future use 1:10
- Once linked, the QR code stays associated with that item until it is manually unlinked.
- The linked QR code will remain available for future check-ins and future seasons.
- Confirm the item is now ready for ongoing tracking.

- Select Finish Checkout to complete the transaction.
- The items will be checked out to the student.
- Verify the checkout is complete and the student record is saved properly.
Cautionary Notes
- Ensure QR code labels are applied before checkout whenever possible.
- Only link the QR code to the correct physical item to avoid tracking errors.
- If a QR code is linked incorrectly, it must be unlinked and corrected before the item is used again.

- Pre-label all gear items before the checkout period begins.
- Use the QR code button as a quick indicator for items that still need linking.
- Link items immediately during checkout so they are ready for future check-ins without extra work.
