Dashboard View vs. Inventory View
Using the Gear Dashboard and Inventory View to Review, Filter, and Export Equipment Data
Objective
This article explains how to use the Gear Dashboard for a high-level inventory overview and the Inventory View for detailed item management, filtering, and exporting. It helps team members quickly assess gear status, take item-level actions, and generate filtered reports for ordering or tracking purposes.
Key Steps
1. Review the Gear Dashboard for a high-level inventory summary 0:00
- After logging in, start on the Gear Dashboard.
-
Use this view to get a high-level overview of all gear in inventory.
Review summary counts for each item type, including:
- Available
- Checked out
- Missing
- Need replaced
- Use this screen to quickly understand overall inventory status before drilling into details.
2. Open an item to review condition and size breakdowns 0:34
-
Select the item drop-down for a specific gear type, such as helmets.
Review the condition breakdown to see how many items are:
- Damaged
- Need replaced
- Scroll further to view the size breakdown.
- Check how each size is distributed across conditions.
- Use this information to determine replacement needs and support future ordering decisions.
3. Open the selected item in Inventory View for detailed management 1:02
- From the dashboard, click Open in Inventory.
- This opens the Inventory View filtered to the selected product.
- Use this list view to see all item-level information associated with that gear type.
- Confirm you are viewing the correct product before taking action.
4. Use item actions to update inventory status 1:20
-
In Inventory View, use the action menu to manage selected items.
Available actions include:
- Check out items
- Check in items
- Report items as missing
- Link a QR code
- Apply the appropriate action based on the item’s current status.
- Make sure actions are only applied to the correct items before saving or confirming changes.
5. Sort and filter inventory to isolate specific items 1:38
-
Use sorting tools to organize the list in the way that best supports your task.
Apply filters to narrow results, such as:
- Condition (for example, Need Replaced)
- Size
- Purchase year
- QR code status
- Combine multiple filters to view more than one item type at once.
- Example: filter for both blue helmets and white helmets that are marked Need Replaced.
- Use filters to create focused views for reporting or inventory review.
6. Export filtered inventory for reporting or ordering 2:19
- After applying the desired filters, click Export Inventory.
- Select Export Filtered Inventory.
-
The export will include only the items currently shown on the screen.
Use this feature to generate reports for:
- Replacement planning
- Ordering gear
- Inventory audits
- Equipment tracking
- Example: filter to game pants, then export only that filtered set.
7. Access Inventory View from the left-hand menu anytime 2:45
- If you are not already on the Inventory View, use the left-hand menu.
- Click Inventory to open the inventory screen directly.
- Use this as a shortcut to return to inventory management without going through the dashboard.
Cautionary Notes
- Verify filters before exporting to avoid generating reports with the wrong items included.
- Confirm the selected product before using item actions like check in, check out, or report missing.
- Use QR code linking carefully to ensure codes are attached to the correct gear.
- Do not assume dashboard totals equal item-level details; open the Inventory View when you need exact records.
Tips for Efficiency
- Start with the Gear Dashboard for a quick status check, then move to Inventory View only when you need item-level detail.
- Use multiple filters together to narrow large inventories faster.
- Export only the filtered results you need to save time on cleanup and reporting.
- Use the left-hand Inventory menu as a shortcut for faster navigation.
- Review size and condition breakdowns before ordering replacements to reduce overbuying.
