Running Checkout to an Athlete or Multiple Athletes
Objective
This article explains how to check out inventory items to a student-athlete using the team roster and inventory search tools. It also covers how to repeat the process for additional athletes and how to use QR codes for faster item entry.

1. Open the Checkout Workflow 0:00
- Begin from the team checkout screen.
- Confirm you are in the correct team context before starting.
- Use this process when checking out gear to one athlete or multiple athletes.
2. Understand How Checkout Affects the Roster 0:11
- Recognize that athletes may appear at the school level before gear is assigned.
- When checkout is completed, the athlete will appear on the appropriate team roster.
- As more athletes are checked out, the roster count for that team will increase.
3. Start a New Checkout 0:43
- Click Start Checkout to begin the process.
- Select the team you want to check items out to.
- Confirm the checkout session is started before searching for the athlete.
4. Search for and Select the Athlete 0:47
- Type the student-athlete’s name into the search field.
- Select the correct student from the available school-level roster.
- Verify the athlete’s details appear on the right-hand side of the screen.
5. Review or Update Athlete Information 1:04

Check the athlete’s displayed information for accuracy.
If needed, add or update:
- Locker or lock information
- Parent email addresses
- Other contact details
- Edit student information only if changes are required before checkout.
6. Add Inventory Items to the Checkout 1:25

Use the inventory search bar to find items to assign.
Search by item type and size, such as:
- Jersey M for medium jerseys
- Pants for uniform pants
- Catcher’s gear
- Helmet and mask
- Select each item you want to include in the checkout.
- Continue adding items until all required gear is queued.
7. Complete the Checkout 2:01
- Review the queued items before finalizing.
- Click Finish Checkout to assign the selected items to the athlete.
- Confirm the checkout is complete before moving to the next athlete.
8. Use QR Codes for Faster Item Entry 2:10
- If items have QR codes, select the QR Code option (next to the search bar)
- Scan item QR codes to load inventory into the checkout automatically.
- Use this method when you want a faster checkout process with fewer manual searches.
9. Repeat for Additional Athletes 2:32
- After finishing one checkout, immediately search for the next athlete.
- Repeat the same process for each additional player.
- Continue until all athletes have received their assigned gear.
Cautionary Notes
- Verify the correct team before starting checkout to avoid assigning items to the wrong roster.
- Confirm the athlete’s identity before selecting them, especially when multiple students have similar names.
- Check item size and type carefully to prevent incorrect gear assignments.
- Do not finish checkout until all intended items are queued and reviewed.
- If using QR codes, ensure the codes are readable and the scanner is functioning properly.
Tips for Efficiency
- Use the inventory search bar with specific terms like item type plus size to find gear faster.
- Keep common item names and sizes consistent in inventory so searches return accurate results.
- Use QR code scanning when available to reduce manual entry time.
- Batch-checkout multiple items for one athlete before clicking Finish Checkout.
- After each checkout, move directly to the next athlete to streamline the workflow.
