Add, Bulk Import, Search, and Assign Locks to Students

Objective

This article explains how to add individual locks or bulk import multiple locks into the organization, then search for, assign, unassign, or replace locks on student profiles. It is designed to help staff quickly manage locker combinations and keep student lock records accurate.

Key Steps


1. Navigate to the Locks screen 0:00

  • From the left-hand menu, click Locks.
  • Confirm you are on the Locks page before making any changes.
  • Use this screen to add, review, search, and assign locks.

2. Add a single lock manually 0:14

  • Click Add Lock to create one lock at a time.

    Enter the available lock details:

    • Combination
    • Serial number
    • Locker number
  • Save the entry once the information is complete.
  • Use this method when you only need to add one lock or a small number of locks.

3. Bulk import multiple locks from a spreadsheet 0:26

  • Click the Bulk Edit button (pencil icon).
  • Prepare a spreadsheet containing the lock data you want to import.
  • Drag and drop the spreadsheet into the import window.
  • Wait for the system to read and process the file.

  • Check that the imported locks appear correctly in the preview.

    Verify the fields that were pulled in, such as:

    • Serial number
    • Combination
    • Locker number
  • Confirm the total number of imported locks matches expectations.
  • Remember that serial number and locker number are optional and may be left blank if not applicable.

5. Save imported locks to the Locks page 1:12

  • Click Save Changes to finalize the import.
  • Return to the Locks page to confirm the locks were added successfully.
  • Verify the imported locks now appear in the list.

6. Search for a specific lock 1:30

  • Use the search bar to locate a lock quickly.

    Type part or all of the following to narrow results:

    • Serial number
    • Combination
  • Review the filtered results and select the correct lock.

7. Assign a lock to a student 1:40

  • Click the three dots next to the desired lock.
  • Select Assign.
  • Type the student’s name in the assignment field.
  • Choose the correct student to attach the lock to their profile.

8. Confirm the lock appears on the student profile 2:10

  • Open the student’s profile using global search.
  • Confirm the assigned lock and locker number appear on the profile.
  • Use this step to verify the assignment was successful.

9. Unassign or replace a lock if needed 2:23

  • From the student profile, unassign the lock if it is no longer needed.
  • If replacing the lock, search for the new lock first.
  • Assign the new lock to the student to update the profile record.
  • Confirm the replacement appears correctly after the update.

Cautionary Notes

  • Do not save imported locks until you have reviewed the spreadsheet data for accuracy.
  • Serial number and locker number are optional, so blank fields are acceptable when those details are unavailable.
  • Make sure you assign the correct lock to the correct student to avoid record errors.
  • If replacing a lock, confirm the old lock is removed or unassigned before finalizing the new assignment.

  • Use bulk import when adding many locks at once to save time.
  • Keep spreadsheet columns organized and consistent before importing.
  • Use the search bar with partial serial numbers or combinations to find locks faster.
  • Verify assignments immediately after saving to reduce follow-up corrections.
